  • Required Documents

    Sample documents can be found in the Florida folder for your reference.

    • Certificate of Insurance

    • A flame spread certificate for any tents being used (must meet NFPA 701 standards)

    • Food License for Food Vendor

      • Public Food Service Establishment License issued by the Florida Department of Business and Professional Regulation (DBPR), or (if applicable based on jurisdiction and operation type) a Temporary Food Service Event (TFSE) permit/license issued by DBPR.

      • Vendors without a valid license/permit may be subject to an on-site inspection by the Authority Having Jurisdiction on the event day. Sales may not begin until approval is granted.

      • (if already obtained): Vendors must provide a valid license/permit number (not expired) before the event.

      • Propane Use:

        • Only residential propane tanks are permitted (20 lb size only).

      • Generator Use:

        • If a generator exceeding 5 kW per unit will be used, a special permit from the Fire Department is required.

        • Please be sure to notify the event organizer no later than two weeks prior to the event.

  • Participation Fees, Commission and Deposit

    • Fee structure
      Participation fees are as follows (tax will be charged on top of these amounts):

      • Food vendors: $500 + 8% of sales

      • Non-food vendors: $300 + 8% of sales

      • Promotion booths (For exhibitors who conduct promotion only, without on-site sales): To be determined

    • A $100 deposit is required after submitting the application.

    • The deposit will be deducted from the final participation fee. However, the deposit is non-refundable in the event of cancellation.

    • How it works

      • Vendors must provide a product for free to influencers at JAPAN Fes, and participating influencers may choose to share the product on their social media, which may help increase overall exposure.

      • Additional influencers may also attend.

    • What vendors must do

      • Provide one free item of the main product/service per influencer. Only items approved by the organizer.

      • Provide items only to the influencer (do not give items to friends or companions).

    • Expected influencer count

      • We expect about 5–10 influencers, but the organizer does not guarantee the number of attendees.
