JAPAN Fes Texas – Official Event Terms, Conditions & Social Media Contest Rules

By purchasing a ticket, registering for, or entering the premises of JAPAN Fes Texas ("Event"), held and operated by Team JAPAN Association ("Sponsor", "Organizer", "We", "Us"), or by participating in the Social Media Post Contest ("Contest"), you ("Attendee", "Entrant", "Ticketholder", "You") agree to be bound by the following Terms and Conditions and Official Contest Rules.
PART I: EVENT TERMS & CONDITIONS
1. TICKETS, ADMISSION & REFUND POLICY
Final Sale: All ticket sales are final. Tickets are non-refundable and non-transferable, except in the event of full festival cancellation by the Organizer.
Entry Requirements: A valid Eventbrite QR code or printed ticket is required for entry. The Organizer reserves the right to refuse entry or eject any individual without refund for violation of these Terms or disruptive behavior.
Unlimited Pass Guidelines: Unlimited Pass holders must follow designated tasting queue procedures. Tastings are provided as sample-size portions to ensure all attendees experience a variety of vendors. Unused pass benefits cannot be redeemed for cash or carried over.
2. EVENT DATES, WEATHER & FORCE MAJEURE
Rain or Shine: The Event is a "Rain or Shine" outdoor experience. No refunds will be issued due to inclement weather unless official emergency conditions mandate full cancellation.
Force Majeure: Organizer shall not be liable for failure or delay in performing event operations due to acts of God, extreme weather, government orders, public health emergencies, riots, strikes, or other events beyond reasonable control.
3. FOOD SAFETY & ALLERGY DISCLAIMER
Vendor Responsibility: Food items are prepared and served by independent third-party vendors.
Allergens: Food served at the Event may contain common allergens, including but not limited to soy, wheat/gluten, eggs, sesame, dairy, peanuts, tree nuts, fish, and shellfish. Attendees with food allergies or dietary restrictions consume all items at their own risk. Organizer assumes no liability for adverse reactions.
4. MEDIA RELEASE & PUBLICITY WAIVER
Photography & Filming: By entering the Event premises, you acknowledge and consent that you may be photographed, filmed, or audio-recorded by Organizer, press, or media partners.
Publicity License: You grant Team JAPAN Association a perpetual, worldwide, royalty-free, irrevocable license to use your image, voice, and likeness in video, photo, social media, marketing, and promotional materials without further compensation or notification.
5. CODE OF CONDUCT, PROHIBITED ITEMS & PETS
Conduct: Attendees must behave respectfully toward vendors, staff, and fellow guests. Harassment, verbal abuse, or aggressive behavior will result in immediate ejection without refund.
Prohibited Items: The following items are strictly prohibited inside the festival grounds:
Outside food or beverages (except sealed water bottles or infant needs)
Weapons of any kind, firearms, explosives, or sharp objects
Illegal substances or drug paraphernalia
Drones or unapproved professional audio/video recording gear
Pet Policy: Well-behaved, leashed pets are welcome! All pets must remain on a leash and under the direct control of their owners at all times. Owners are solely responsible for cleaning up after their pets and assume full liability for their pet’s behavior. Service animals are permitted in all areas.
6. ALCOHOL CONSUMPTION
Age Verification: Alcohol will only be served to individuals aged 21 and older who present a valid, government-issued photo ID.
Responsible Consumption: Organizer reserves the right to refuse alcohol service to any intoxicated individual. Public intoxication or disorderly conduct will result in removal from the venue.
7. ASSUMPTION OF RISK & LIMITATION OF LIABILITY
Assumption of Risk: Attendees voluntarily assume all risks, hazards, and dangers arising from or related to attendance at the Event, including exposure to large crowds, outdoor weather, food consumption, slipping/tripping hazards, and personal property damage or theft.
Liability Release: To the maximum extent permitted by law, Attendees release and hold harmless Team JAPAN Association, its officers, directors, employees, volunteers, sponsors, venue owners, and participating vendors from any and all liability, claims, or damages arising out of personal injury, illness, or property loss during or related to the Event.
PART II: OFFICIAL RULES: SOCIAL MEDIA POST CONTEST
THIS IS A SKILL-BASED CONTEST. VALID EVENT ADMISSION AND ATTENDANCE AT JAPAN FES TEXAS ARE REQUIRED. VOID WHERE PROHIBITED BY LAW.
8. SPONSOR
This Contest is sponsored by Team JAPAN Association, a non-profit organization located at 8 The Green, Suite A, Dover, DE 19901, USA ("Sponsor").
9. ELIGIBILITY
The Contest is open ONLY to legal residents of the fifty (50) United States and the District of Columbia who are eighteen (18) years of age or older at the time of entry. Valid event ticket purchase and verified in-person attendance at JAPAN Fes Texas on October 24 are required. Employees, officers, vendors, and contractors of Sponsor, and their immediate family members, are not eligible to enter or win.
10. CONTEST PERIOD
Begins at event start on October 24 and ends on October 25 at 11:59 PM Central Daylight Time (CDT) ("Contest Period"). Submissions received after this period will be disqualified.
11. HOW TO ENTER & ENTRY LIMITS
Hold a valid ticket and physically attend JAPAN Fes Texas on October 24.
Post an original photo depicting your "favorite moment" at the event on your public Instagram account.
Include the official hashtag #UnlimitedDream and tag @japanfestexas in the post caption.
Private Instagram profiles are ineligible. Posts must remain active and public through winner announcement. Entrants may post multiple photos, but only one (1) prize will be awarded per person/Instagram account.
12. JUDGING CRITERIA & WINNER SELECTION
This is a skill-based contest; chance plays no role in winner selection. Submissions will be judged by a designated panel of JAPAN Fes team members based on the following criteria:
Creativity & Originality (33%)
Photographic Quality & Composition (33%)
Capturing the Spirit and Energy of JAPAN Fes (34%)
The top-scoring entry will be selected as the Grand Prize winner. In case of a tie, the "Spirit and Energy" score will serve as the tiebreaker.
13. WINNER NOTIFICATION & ELIGIBILITY VERIFICATION
The potential winner will be notified via Instagram Direct Message from @japanfestexas or by email within fourteen (14) days following the end of the Contest Period.
The potential winner must respond within seven (7) days of the notification.
As a condition of receiving the prize, the potential winner must provide proof of ticket purchase, including the applicable Eventbrite Order Number, and such information must match the individual’s identity and verified in-person attendance at JAPAN Fes Texas on October 24, 2026.
Sponsor may require the potential winner to provide reasonable proof of identity and any additional documentation reasonably necessary to verify eligibility, ticket purchase, entry validity, and in-person attendance.
The potential winner will not be confirmed as the official winner until all eligibility requirements, attendance requirements, and required documentation have been successfully verified by Sponsor.
If a potential winner:
cannot be contacted;
fails to respond within seven (7) days;
deletes or makes the qualifying Instagram post unavailable before verification is completed;
fails to provide required verification or tax documentation within the applicable deadline; or
is otherwise determined to be ineligible or in violation of these Official Rules,
the prize may be forfeited and awarded to an alternate potential winner.
Any alternate potential winner will be subject to the same eligibility verification and documentation requirements.
14. PRIZE
One (1) Grand Prize will be awarded.
The Grand Prize consists of reimbursement for the actual cost of one eligible round-trip airline ticket, up to a maximum reimbursement amount of US $1,500.
The prize is a reimbursement and is not a guaranteed cash payment of $1,500.
The winner is responsible for purchasing the airline ticket and must submit documentation reasonably required by Sponsor, including:
an official itemized airline receipt or other acceptable proof of payment; and
the applicable flight itinerary.
The eligible round-trip flight must be purchased and completed within six (6) months following the Event and no later than April 25, 2027.
Sponsor will reimburse only the verified eligible airfare actually paid by the winner, up to a maximum of $1,500.
If the verified eligible airfare is less than $1,500, the winner will receive reimbursement only for the actual eligible amount paid and will not receive the difference in cash or any other form.
Reimbursement will be issued only after Sponsor verifies all required travel documentation and confirms compliance with these Official Rules.
Payment will be made by ACH transfer or check, as determined by Sponsor and subject to availability and applicable payment requirements.
Any reimbursement request submitted after the applicable deadline, or any travel that does not satisfy the requirements of these Official Rules, may be denied.
The prize is non-transferable and may not be assigned, substituted, or redeemed for cash except as expressly provided in these Official Rules.
All costs and expenses not expressly included in the prize are the sole responsibility of the winner.
15. TAXES & TAX DOCUMENTATION
The winner is solely responsible for all federal, state, local, or other taxes, fees, or reporting obligations arising from receipt of the prize.
Because the value of the prize may exceed applicable U.S. tax-reporting thresholds, the potential winner must complete, sign, and submit a valid IRS Form W-9, including the information required by applicable law, before any prize reimbursement will be issued.
The required W-9 and any other required tax or verification documentation must be submitted within fourteen (14) days of Sponsor’s request or winner notification, as applicable.
Failure to timely submit a completed and valid W-9 or other required documentation may result in forfeiture of the prize and selection of an alternate winner.
Sponsor may report the prize to applicable tax authorities and may issue the winner an applicable IRS information return, including Form 1099-MISC or any successor or other form required by applicable law, for the tax year in which the prize is awarded.
The winner is encouraged to consult their own tax advisor regarding any tax consequences associated with receipt of the prize.
16. RIGHTS & THIRD-PARTY RIGHTS (PUBLICITY RELEASE)
Entrants represent and warrant that they own the submitted photo and have obtained all necessary permissions from any identifiable individuals depicted in the photo. Entrants agree to indemnify and hold harmless Sponsor against any third-party claims regarding privacy, publicity, or copyright infringement. By entering, entrants grant Sponsor a perpetual, royalty-free, worldwide license to display, reproduce, and distribute the submitted photo for promotional purposes across all media without further compensation.
17. RELEASE OF LIABILITY & DISCLAIMER
This promotion is in no way sponsored, endorsed, administered by, or associated with Instagram, Meta, Eventbrite, or any airline. Entrants completely release Instagram, Meta, Eventbrite, Sponsor, and participating airlines from any liability arising out of participation or prize use.
PART III: GENERAL PROVISIONS
18. GOVERNING LAW & JURISDICTION
These Event Terms and Official Contest Rules are governed by the laws of the State of Texas, USA, without regard to conflict of law principles. Any legal action or proceeding arising under these terms shall be brought exclusively in the courts located in Texas.
